Most polo shirt orders go wrong before production starts. A buyer sends an RFQ for polo shirts with only a quantity and a logo file. Three suppliers reply with three prices that cannot be compared. Only at the sample stage does the buyer learn that the fabric weight, logo method and size spec were never the same across quotes. By then the event date is close and there is no room to restart.
I’m Linjing He, and I’ve spent 10 years on sportswear factory floors. This guide covers the questions procurement teams ask most before a first order: minimum quantities, cotton versus performance fabric, logo methods and sample timing. Where I describe our own capabilities, I stick to what we can confirm. Where something depends on the supplier, I say so.

These come up again and again when a team is preparing a first polo shirt order. Each one is cheap to fix before the RFQ goes out and expensive to fix afterward.
The table below sets the practical boundaries. Each row gives the short answer, then the limit where it stops applying.
| Question | Direct answer | Limit to know |
|---|---|---|
| Is there a minimum order? | We have no MOQ. | Unit price depends on quantity, so very small runs cost more per piece. |
| Cotton or performance fabric? | Our fabric is 100% polyester, moisture wicking, 4 way stretch, 140-160 gsm. | We do not describe a cotton option here. If you need cotton, confirm it separately. |
| Which logo method? | Dye sublimation printing on our 5 automatic lines. | Sublimation bonds with polyester only. It will not work on cotton. |
| How long is production? | Standard is 7-10 days, and rush orders are available. | This is production time after approval, not sample time or shipping. |
| How long is a sample? | We confirm it per request on the quote. | We publish no fixed sample figure here, so get one in writing from any supplier. |
With no MOQ, you can order a small club batch without padding the quantity. The trade-off is price. Use these working bands when you plan a budget. They are buyer-side planning bands, not published price breaks.
| Quantity band | Best fit | What to watch |
|---|---|---|
| Small batch | Clubs, staff trials, first test order | Highest unit price. Lock sizes with a sample first. |
| Mid batch | Several teams, sponsor events | Ask for a quote at two quantities to see where price drops. |
| Large batch | Retail programs, event runs | Confirm delivery date and the defect policy in writing. |
For scale, our daily output is 1000+ custom jerseys. We supplied 500+ sublimated jerseys for a US high school basketball league and 1000 event jerseys for a European marathon. Those were jerseys, not polo orders, but they ran on the same sublimation lines. Check our Custom Team Jerseys range if you want to see that production style.
Not on every fabric. Sublimation suits full color artwork, gradients, sleeve panels and all over patterns, because the ink becomes part of the polyester. It does not suit dark base colors, since the base shade shows through. If you need a small stitched chest logo, ask each supplier whether they do embroidery in house. We are not claiming it here.
The right fabric depends on how the shirt will be worn, and the wrong choice shows up after the first wash. This table compares the two in general terms. Specs for our own fabric come from our production brief.
| Factor | Cotton | Performance polyester |
|---|---|---|
| Moisture handling | Absorbs sweat and stays damp | Moisture wicking fabric moves sweat outward to dry faster |
| Sublimation printing | Not compatible | Compatible, with full color coverage |
| Stretch | Limited unless blended | Our fabric is 4 way stretch |
| Best scenario | Office wear, hospitality uniforms | Golf days, running events, club teams, outdoor staff |
| Weight in our line | Not specified here | 140-160 gsm for breathability |
My recommendation: choose performance polyester if the shirt will be worn outdoors, worn in heat, or printed with large artwork. Choose cotton only when feel matters more than sweat control and the logo will be small. The limit: polyester at 140-160 gsm is light. If your buyer expects a thick, heavy knit, say so before sampling.
For off-field wear, see our Custom Casual Wear range as a reference for style options.
A good polo shirt RFQ takes one hour to prepare and saves days of back and forth. Follow these steps in order.
Worked example: A club needs 120 shirts for a tournament. Start from the tournament date and subtract shipping time. Subtract the 7-10 day standard production window, or plan a rush request. Then subtract your sample approval time. Whatever remains is the latest date you can send the RFQ. Many buyers find that the sample stage, not production, is what eats the calendar.
We do not publish price tiers here because they change with quantity and design. These are the factors, ranked by how much they usually move the quote.
| Cost factor | Effect on price | How to control it |
|---|---|---|
| Quantity | Largest single driver | Request quotes at two quantities |
| Fabric choice | Moderate | Fix the gsm range up front |
| Print coverage | Moderate | Simplify artwork where possible |
| Rush timing | Can add cost | Order ahead of the standard 7-10 day window |
| Size mix | Small | Use a size chart to avoid reorders |
Teams tell us the same three frustrations about sublimated sportswear: prints that fade after washing, sizing that varies between batches, and late delivery. We address the first two with locked color inks and a verified size chart. On delivery, we offer standard production of 7-10 days with rush orders available.
Our facility is ISO 9001 and ISO 14001 certified. It covers 1000 sqm in Guangzhou, with 100+ workers and 5 automatic dye sublimation printing lines. We offer a free reprint for any printing defect or wrong size, and a 1-year colorfastness guarantee. For a polo shirt manufacturer, these are the terms to compare, not just the unit price. We have also produced full custom uniforms for an Australian soccer club’s three teams and training sportswear for sports retailers in New Zealand. If you are also planning matching outerwear, take a look at our Custom Sport Jacket range.
A checklist you can use on any supplier:

If you are preparing an RFQ for polo shirts, send us your quantity, fabric requirement, artwork and deadline. We will reply with a quote and the sample timing for your specific request.
